How to Reduce No-Shows and Missed Appointments as a Plumber
Why No-Shows Happen
Most no-shows aren't malicious. Customers forget, get the day wrong, have a work emergency, or simply didn't realise they needed to be home. The good news: 80% of no-shows are preventable with simple communication.
6 Strategies to Eliminate No-Shows
1. Confirm 24 Hours Before
Send a text the day before: "Hi [Name], confirming your plumbing appointment tomorrow [day] between [time]. Please reply YES to confirm or call me to reschedule." This alone reduces no-shows by 50%.
2. Send an "On My Way" Text
15-20 minutes before arrival: "Hi [Name], I'm on my way — about 15 minutes out." This gives them time to get home if they've popped out, lock up the dog, or clear access to the work area.
3. Be Specific About Access Requirements
When booking, tell them exactly what you need: "I'll need access to the hot water system in your garage and the main shutoff valve at the front of the house. Can you make sure both are accessible?" Customers don't know what you need unless you tell them.
4. Charge a Call-Out Fee (and Advertise It)
A $50-80 call-out fee that's waived if work proceeds serves two purposes: it compensates you for no-shows, and it makes customers take the appointment seriously. Always mention it at booking: "There's a $60 call-out fee which is included in the job cost."
5. Give Morning-Of Updates
If you're running on time: "Good morning! Still on track for 10am." If you're running late: "Hi, running about 20 minutes behind — should be there by 10:20. Sorry for the delay." Customers appreciate honesty and are far less likely to leave if they know you're coming.
6. Have a No-Show Policy
After a no-show, send: "Hi [Name], I was at your property today at [time] but wasn't able to access. I'll need to charge a $[X] call-out fee for the missed appointment. Would you like to rebook?" Be firm but fair.
The Numbers
If you do 25 jobs per week and have a 10% no-show rate, that's 2.5 wasted trips. At 30 minutes per wasted trip (drive there, wait, drive away), that's 65 hours per year. Reduce no-shows to 2% and you gain back 52 hours — more than a full working week.
